Matchiv Privacy Policy

Matchiv LLC ("Matchiv," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Matchiv website, mobile application, and related services (collectively, the "Service").
Matchiv provides software that enables sports clubs, leagues, associations, and other organizations ("Organizations") to manage players, leagues, competitions, schedules, matches, events, registrations, ratings, communications, and related activities.
By using Matchiv, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
The information we collect depends on how you use Matchiv and how the Organizations to which you belong configure and use the Service.
A. Account and Contact Information
When you create or use a Matchiv account, we may collect information such as:
- Name
- Email address
- Account credentials and authentication information
- Organization membership and role
- Profile information
- Profile photograph
- Communication preferences
B. Player and Competition Information
Matchiv may collect and maintain information associated with participation in leagues, competitions, events, and other activities, including:
- Player profiles
- Singles and doubles ratings
- Rating history
- Self-reported playing level or division
- Team and league membership
- Match results and scores
- Standings and competition history
- Schedules
- Player availability
- Session registrations and check-ins
- Event registrations
- League registrations
- Team assignments
- Captain or coordinator assignments
- Waitlist status
- Other information necessary to administer an Organization's activities
Some of this information, such as player names, ratings, team assignments, schedules, standings, and competition results, may be visible to other members of the same Organization as part of the normal operation of the Service.
C. Information Provided by Organizations
Organizations and their authorized administrators may provide information about players and members directly to Matchiv.
For example, an administrator may manually create a player profile or upload a spreadsheet containing player information when the Organization does not use Matchiv's self-service registration features.
The information provided may include names, email addresses, playing levels, ratings, league assignments, and other information reasonably necessary to administer the Organization's activities.
Organizations are responsible for ensuring that they have appropriate authority to provide this information to Matchiv.
D. Photos and Uploaded Content
Users may upload profile photographs. Organization administrators may also upload files, including spreadsheets used to create or manage player and league records.
We process uploaded content as necessary to provide the requested functionality.
Please do not upload information that is not necessary for use of the Service.
E. Payment and Transaction Information
Matchiv uses third-party payment processors, including Stripe, to process certain payments.
Payments may include:
- Subscription fees paid by Organizations for use of Matchiv;
- Club membership fees paid by individuals to Organizations; and
- League or activity registration fees paid by players when an Organization chooses to accept payments through Matchiv.
When you make a payment, payment and transaction information is processed by our payment processor. Matchiv may receive information about the transaction, such as the payer, amount, payment status, transaction identifier, and related registration or subscription.
Matchiv does not intend to store full payment-card numbers or card security codes on its own application systems.
Payment information is also subject to the privacy practices of the applicable payment processor.
F. Communications
We may collect information relating to communications sent through Matchiv, including transactional emails, reminders, administrative notices, and push notifications.
We may also retain communications that you send directly to Matchiv, such as customer-support requests.
G. Device, Log, and Usage Information
When you access Matchiv, certain technical information may be collected automatically by Matchiv or our service providers, including:
- IP address
- Device and browser type
- Operating system
- App or browser version
- Device identifiers
- Log and diagnostic information
- Dates and times of access
- Interactions with the Service
- Push-notification identifiers and delivery information
We use this information to operate, secure, troubleshoot, and improve the Service.
2. How We Use Information
We may use information collected through Matchiv to:
- Create and manage accounts and player profiles;
- Provide and operate the Matchiv Service;
- Manage Organizations and Organization memberships;
- Administer leagues, teams, competitions, matches, schedules, standings, registrations, events, and related activities;
- Calculate and maintain player ratings when applicable;
- Process registrations and payments;
- Send transactional emails, reminders, and push notifications;
- Provide administrative tools to authorized Organization administrators;
- Provide customer support;
- Authenticate users and protect accounts;
- Detect, investigate, and prevent fraud, abuse, security incidents, and technical problems;
- Maintain, troubleshoot, analyze, and improve Matchiv;
- Enforce our Terms of Service and other policies;
- Comply with applicable legal obligations; and
- Protect the rights, safety, and property of Matchiv, our users, Organizations, and others.
We do not use competition results to alter a Matchiv player rating unless the applicable competition or Organization is configured to affect Matchiv ratings.
3. Organizations and Organization Administrators
Matchiv is designed to allow Organizations to administer their own programs.
Authorized Organization administrators may have access to information concerning members of their Organization, including player profiles, contact information, registrations, ratings, schedules, team assignments, availability, match information, and other administrative information.
The Organization determines many aspects of how it administers its programs and how information is used within those programs.
When an Organization provides personal information to Matchiv or uses Matchiv to administer its members, the Organization is responsible for its own compliance with applicable privacy and data-protection requirements.
Questions specifically concerning an Organization's use of your information may need to be directed to that Organization.
4. How We Share Information
We may disclose information in the following circumstances.
A. Within Your Organization
Information may be shared with Organization administrators, coordinators, captains, players, or other authorized users when necessary to provide league, competition, event, scheduling, standings, registration, and other Matchiv functionality.
The information visible to another user depends on the user's role and the functionality being used.
B. Service Providers
We use third-party companies to help operate Matchiv. These providers may process information on our behalf when necessary to perform their services.
These providers may include services used for:
- Application infrastructure and hosting;
- Database and application functionality;
- Payment processing;
- Transactional email;
- Push notifications;
- Mobile application functionality;
- Security, monitoring, and technical operations; and
- Other services necessary to operate Matchiv.
Our current providers include Base44 for application infrastructure, Stripe for payment processing, Resend for transactional email, OneSignal for push-notification services, and Median for mobile application functionality.
These providers process information according to their respective agreements and privacy practices.
C. Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law, regulation, legal process, or governmental request;
- Protect the rights, property, or safety of Matchiv, our users, Organizations, or others;
- Detect or investigate fraud, abuse, security incidents, or unlawful activity; or
- Enforce our agreements and policies.
D. Business Transactions
If Matchiv is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to applicable law.
5. Sale of Personal Information and Advertising
Matchiv does not sell personal information for monetary consideration.
Matchiv does not currently use personal information collected through the Service for third-party targeted advertising.
If our practices materially change, we will update this Privacy Policy and provide any notices or choices required by applicable law.
6. Email and Push Notifications
Matchiv may send transactional and service-related communications, including:
- Registration confirmations;
- League and match information;
- Schedule changes;
- Session and event reminders;
- Cancellation notices;
- Team or captain action reminders;
- Account and security messages;
- Payment-related communications; and
- Other communications necessary to operate the Service.
If you enable push notifications, information necessary to deliver those notifications may be processed by our push-notification provider and the applicable device platform.
You can generally disable push notifications through your device settings. Disabling notifications does not prevent important information from remaining available within Matchiv.
7. Data Retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain legitimate business and competition records, comply with legal obligations, resolve disputes, enforce agreements, and protect the integrity of the Service.
Different types of information may be retained for different periods.
Certain historical records may need to remain after an account is deleted. For example, completed match results, standings, ratings history, team results, transaction records, or other competition records may involve multiple users and may be necessary to preserve accurate historical records.
Where appropriate, Matchiv may delete, de-identify, or otherwise separate such historical information from a deleted user's active account rather than deleting the underlying competition record.
Payment and transaction records may also be retained as required for accounting, tax, fraud-prevention, dispute-resolution, or other legal purposes.
8. Account and Data Deletion
Matchiv users can initiate deletion of their Matchiv account using the account-deletion functionality available within the application.
You may also contact us at support@matchiv.com with questions or requests concerning your personal information.
When an account is deleted, we will delete or de-identify personal information associated with the account when reasonably possible, subject to information that we need or are permitted to retain for legitimate business, legal, security, financial, or historical-record purposes.
Deleting a Matchiv account may not automatically delete records maintained independently by an Organization or information that an Organization is legally entitled or required to retain.
9. Your Privacy Choices and Rights
Depending on where you reside, applicable law may provide rights concerning your personal information, which may include the right to:
- Request access to personal information we maintain about you;
- Request correction of inaccurate personal information;
- Request deletion of certain personal information;
- Obtain information about how personal information is processed or disclosed;
- Request a portable copy of certain information;
- Restrict or object to certain processing; or
- Withdraw consent where processing is based on consent.
These rights may be subject to exceptions under applicable law.
To make a privacy request, contact us at support@matchiv.com. We may need to verify your identity before completing a request.
If the information is controlled primarily by an Organization using Matchiv, we may direct you to the appropriate Organization or work with that Organization to address your request.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure.
However, no internet transmission, electronic storage system, or information-security measure can guarantee absolute security. Users are responsible for maintaining the confidentiality of their account credentials and should notify us if they believe their account has been compromised.
11. Adults Only
Matchiv is intended only for individuals who are 18 years of age or older.
Matchiv is not intended for children or minors under 18, and we do not knowingly permit individuals under 18 to create Matchiv accounts or knowingly collect personal information directly from them.
If you believe that an individual under 18 has provided personal information to Matchiv, please contact us at support@matchiv.com so that we can investigate and take appropriate action.
Organizations using Matchiv are responsible for ensuring that individuals they add to or invite to use the Service meet Matchiv's age requirements.
12. United States and International Processing
Matchiv LLC is based in the United States.
Matchiv and our service providers may process and store information in the United States and other jurisdictions in which they or their service providers operate. These jurisdictions may have privacy and data-protection laws that differ from those in your place of residence.
Where required by applicable law, appropriate safeguards may be used for transfers of personal information between jurisdictions.
13. Third-Party Services and Links
Matchiv may contain links to or integrations with third-party websites, applications, payment services, calendars, or other services.
This Privacy Policy applies to Matchiv's practices and does not govern independent third parties. Your interaction with a third-party service may be governed by that service's own terms and privacy policy.
14. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes to Matchiv, our business practices, legal requirements, or other circumstances.
When we make changes, we will update the effective date at the top of this Privacy Policy. If changes are material, we may provide additional notice through the Service, by email, or through another appropriate method.
Your continued use of Matchiv after an updated Privacy Policy becomes effective is subject to applicable law and the updated policy.
